Many benefits offices and state agencies still process applications in person, and their eligibility workflow may depend on imaging software and document repositories already in place. We’ve introduced two new capabilities that seamlessly connect verifications to those systems, so agencies don’t have to replace them: Batch Processing for ordering, and new automated SFTP delivery for reports.
Batch Processing: Automate the Order
When an application is completed in-person, staff often have to re-key each applicant by hand to start a verification request. Batch Processing removes the manual step:
- Completed applications are saved to a designated folder on the agency’s existing system.
- On a schedule the agency sets based on their application intake volume (for example, twice a day).
- A process on the agency’s server converts them into rows in a spreadsheet
- Each eligible row populates a verification order in the Truv by Checkr Dashboard.
- Applicants receive their verification request by email or SMS.
Each person in a household application is processed as an individual applicant, and automated deduplication prevents duplicate or overlapping orders.
This is built around the agency’s data, existing folder structure and file formats, streamlining verification orders at scale, without process or system disruption.
Flexible Report Delivery, Now With SFTP
Once the applicant completes verification, agencies can consume the report however best fits their workflow:
- SFTP (new): Reports are delivered automatically to the agency’s designated folder, where existing imaging software picks them up and routes them to the right caseworker, with no downloading, renaming, or uploading.
- API: Pull results directly into your own systems.
- Dashboard: Review and download reports in the Truv by Checkr Dashboard.
The new SFTP delivery can be configured to match each agency’s requirements:
- Agency-specific formatting: Case number and applicant name at the top of each report for automated routing.
- Existing folder structure: Reports follow the agency’s file and folder requirements.
- Employer-level organization: One employer per page, so downstream systems can process reports more easily.
Why It Matters
- Less manual work: No re-keying on the front end, no file handling on the back end.
- Faster case processing: Applicants get verification requests sooner, and completed reports reach caseworkers without delay.
- No new systems to adopt: Agencies keep the intake, imaging, and document systems they already use.
